Hire-a-Mind ("Hire-a-Mind," "we," "us," or "our") is an AI-powered interview intelligence platform providing interview analysis, structured evaluation, candidate insights, and hiring decision-support tools. Hire-a-Mind is engineered by INUMENT SOLUTIONS PTE. LTD., operating at www.hireamind.ai
2. Acceptance of Terms
By accessing or using Hire-a-Mind - including via marketplace deals on AppSumo, Product Hunt, or other platforms - you agree to these Terms. If you do not agree, do not use the platform.
These Terms incorporate our Privacy Policy by reference.
3. Eligibility
You may use Hire-a-Mind only if:
- You are at least 18 years of age
- You have authority to bind the organization you represent
- Your use complies with all applicable laws in your jurisdiction
4. Accounts and Registration
You agree to:
- Provide accurate, current, and complete information
- Maintain the security of your account credentials
- Promptly notify us of any unauthorized access at hello@hireamind.ai
- Be responsible for all activity occurring under your account
5. Customer Data Ownership
You retain full ownership of all data you upload to Hire-a-Mind, including:
- Candidate information, resumes, and applications
- Interview recordings, audio files, and transcripts
- Notes, job details, and related documents
By uploading data, you grant us a limited, non-exclusive right to process it solely to provide the services you have contracted for. We will not use your data for any other purpose.
6. AI Processing and Outputs
Hire-a-Mind uses artificial intelligence to generate summaries, candidate evaluations, comparative analyses, and intelligence reports. You understand and agree that:
- All AI outputs are decision-support tools only - not final hiring recommendations
- Final hiring decisions remain entirely your responsibility
- AI outputs may contain errors, omissions, or limitations
- You are responsible for ensuring your use of AI-assisted hiring tools complies with applicable employment laws and anti-discrimination regulations in your jurisdiction
7. Acceptable Use
You agree not to:
- Upload unlawful, discriminatory, or unauthorized content
- Use the platform for any illegal purpose including discriminatory hiring practices
- Attempt to reverse engineer, decompile, or extract source code
- Access or attempt to access data belonging to other customers
- Disrupt or circumvent platform security
- Misrepresent AI outputs or use them in a manner that violates employment law
- Resell access to the platform without express written authorization
Violations may result in immediate suspension or termination.
8. Intellectual Property
All platform software, AI models, algorithms, workflows, branding, UI components, report templates, and related materials are the exclusive property of Hire-a-Mind and/or its licensors. No intellectual property rights are transferred to users through these Terms or any agreement.
You retain all rights to your content. You grant us only the limited processing rights described in Section 5.
9. Confidentiality
We treat all customer recruitment and candidate data as confidential. We will apply commercially reasonable safeguards to protect such information and will not disclose it to third parties except as described in our Privacy Policy.
10. Subscriptions, Billing, and Payments
10a. Subscription plans:
Subscriptions may be monthly or annual and are payable in advance.
10b. Marketplace deals:
Credits or plan access purchased through AppSumo, Product Hunt, or other authorized marketplace deals are subject to the terms of those deals.
10c. Refunds:
- Standard subscriptions are non-refundable except where required by applicable law.
- AppSumo purchases: Refunds are governed by AppSumo's 60-day money-back guarantee in accordance with AppSumo's marketplace terms.
- Other marketplace purchases: Refund terms are governed by the applicable marketplace agreement.
10d. Pricing changes:
We may change pricing with 30 days' notice. Price changes will not affect your current billing period.
10e. Unpaid accounts:
Accounts with outstanding balances may be suspended after reasonable notice.
11. Beta Features and Early Access
Certain features may be labeled "Beta," "Early Access," or "Preview." These features:
- Are provided without warranty
- May change, be modified, or be discontinued without notice
- Should not be relied upon for critical business decisions
12. Service Availability
We aim for reliable service but do not guarantee 100% uptime. Scheduled maintenance, infrastructure updates, or third-party outages may temporarily affect availability. We will make reasonable efforts to communicate planned maintenance in advance.
13. Third-Party Integrations
Hire-a-Mind may integrate with third-party services including video conferencing platforms, ATS systems, and communication tools. We are not responsible for the availability, accuracy, or terms of third-party services. Your use of any integrated third-party service is subject to that provider's own terms.
14. Privacy
Use of Hire-a-Mind is subject to our Privacy Policy, which is incorporated into these Terms by reference. Enterprise customers may request a Data Processing Agreement at hello@hireamind.ai
15. Disclaimer of Warranties
Hire-a-Mind is provided "as is" and "as available." To the maximum extent permitted by applicable law, we disclaim all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, non-infringement, and accuracy of AI-generated outputs.
16. Limitation of Liability
To the maximum extent permitted by applicable law, Hire-a-Mind shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of revenue, loss of profits, loss of data, business interruption, or damages arising from hiring or employment decisions made by customers based on platform outputs.
Hire-a-Mind provides evaluation insights and recommendations to support human decision-making. Customers remain solely responsible for all hiring and employment decisions.
Our total aggregate liability arising from or related to the platform shall not exceed the total fees paid by you to Hire-a-Mind during the twelve (12) months preceding the claim, or USD $100 for free-plan users, whichever is applicable.
Nothing in these Terms limits liability for fraud, willful misconduct, or any liability that cannot be limited under applicable law.
17. No Employment Decision Guarantee
Hire-a-Mind provides evaluation insights, recommendations, and analytical outputs to assist hiring teams in their decision-making process. The platform does not make employment decisions and does not guarantee hiring outcomes, candidate performance, suitability, or future success.
Customers remain solely responsible for all hiring, employment, promotion, compensation, termination, and other personnel decisions made using information provided by the platform.
18. Indemnification
You agree to indemnify and hold harmless Hire-a-Mind, its team, and affiliates from any claims, damages, or expenses arising from: (a) your use of the platform, (b) your violation of these Terms, (c) your violation of any third-party rights, or (d) hiring decisions you make using platform outputs.
19. Suspension and Termination
We may suspend or terminate accounts for:
- Non-payment of applicable fees
- Security risks or breaches
- Violation of these Terms
- Violation of applicable law
Upon termination, your right to access the platform ceases. We will provide a reasonable opportunity to export your data prior to account deletion, except in cases of legal violation or fraud.
20. Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of Singapore, without regard to its conflict of law principles.
Any dispute arising out of or relating to these Terms shall first be resolved through good-faith negotiations. If the dispute remains unresolved after thirty (30) days, it shall be finally resolved by binding arbitration in Singapore, conducted in the English language.
21. Force Majeure
Neither party shall be liable for delays or failures in performance caused by events beyond reasonable control, including natural disasters, pandemics, internet outages, or governmental actions.
22. Modifications to Terms
We may update these Terms at any time. Material changes will be communicated via email or platform notification. Continued use after changes constitutes acceptance of the updated Terms.
